What You Will Be Doing

The Executive Assistant is responsible for providing a high level of administrative support to Peninsula Health’s Executive Director team. The role coordinates a range of administrative and reporting functions on behalf of the relevant Executive Director’s Program as well as the coordination of key Executive Committees. Working closely with the Executive Team, this role also provides support with the daily operation of the Executive Office. Additionally, the Executive Assistant may be required provide administrative support to the Executive Director’s Deputy and other clinical staff as well as undertake other reasonable duties as required by the Executive Director or Team Leader.

What You Need 

We anticipate you will have:

  • Demonstrated experience working as an Executive Assistant
  • Exceptional verbal and written communications skills
  • High level of confidentiality
  • Excellent office organisational skills
  • Ability to work autonomously and use initiative
  • Ability to manage competing priorities, meet deadlines and strong attention to detail
  • Experience with organising meetings and events, including preparation of agendas and minute taking
  • Solid understanding of executive function within a tertiary health service. 
  • Be responsible for complex diary management, negotiate meeting times with internal and external stakeholders. 
  • Work closely with direct reports of the Executive, assign duties are required and ensure tasks are submitted in a suitable timeframe.
  • Discretion dealing with confidential and sensitive information
  • Advanced customer service focus, excellent phone manner and communication skills – polite and articulate
  • Proactive, co-operative and enthusiastic approach to responsibilities with an ability to make decisions and take initiative
  • Highly proficient in the use of: MS products (Word, Excel, PowerPoint, Outlook, Access); Adobe Acrobat and quick to pick up new systems as required
  • Demonstrated ability and commitment to work as part of a team
  • Knowledge of the healthcare sector is preferred but not essential

*Please refer to salary circular for HEALTH AND ALLIED SERVICES, MANAGERS AND ADMINISTRATIVE WORKERS (VICTORIAN PUBLIC SECTOR) (SINGLE INTEREST EMPLOYERS) ENTERPRISE AGREEMENT 2021-2025 for salary range. Sub-grading will be based on years of experience.
