On 1 January 2026 five health services (Kooweerup Regional Health Service, Peninsula Health, Alfred Health, Bass Coast Health and Gippsland Southern Health Service) will come together to create Bayside Health. A newly merged health service with more than 22,000 employees caring for a community of over 1.2 million Victorians.  

The new health service will provide people with the best possible care with services that support them throughout their lives. The merger will also strengthen our workforce, providing new training, education and career opportunities. Subject to final approval on 1 January 2026, all employees from the five health services will transfer to Bayside Health.


The Team & Role

The NDIS Intake & Administration Officer plays a critical role within Bayside Health (Peninsula) NDIS Service. They are responsible for processing NDIS service referrals and the day-to-day financial activities relating to NDIS, including maintenance of NDIS client register, service agreements, portal bookings. processing NDIS claims, invoices and debt recovery.

The successful applicant will demonstrate a genuine commitment to high quality outcomes for NDIS participants, carers and the organisation with a focus on continuous process improvement.

To be successful in the position, the candidate must be able to demonstrate the ability to meet each of the selection criteria outlined below. This is a fast-paced role, which requires a high level of attention to detail.

Key Responsibilities

-Be the first point of contact for NDIS participants with an approved plan wanting to discuss available services
-Conduct initial needs identification with the specific purpose of clarifying the clients’ needs, eligibility and priority for all service referrals.
-Maintain waitlist for NDIS services across NDIS program
-Information management including document storage, data entry, development and distribution of information and resources
-Assisting clinical staff with administration tasks including development and management of Service Agreements
-Work with all key stakeholders (Team Leader, Clinicians, Participants and/or Nominees, Plan Managers, NDIA) to resolve / troubleshoot issues
-Complete all aspects of the accounts receivable function
-Follow up all outstanding debt greater than 14 days
-Identify and implement NDIS intake and administration process improvement strategies

Skills and Experience Required

• Knowledge of health and disability service systems and an ability to navigate effectively to get the best outcomes for people requiring assistance
• Good understanding of Microsoft Systems, including proficiency in Excel, Word and Outlook and capacity to quickly learn new financial software systems
• Demonstrated high attention to detail and accuracy
• Excellent written and verbal communication, planning and organisational skills
• Demonstrated teamwork skills
• Good time management skills with a commitment to meeting deadlines
• Demonstrated ability to adapt to change and to display initiative in relation to continuous improvement
• Able to build rapport and develop ongoing relationships with key stakeholders required to support administration processes
•Hold or able to attain a valid NDIS Worker Screening Check at your own cost

*Please refer to salary circular for HEALTH AND ALLIED SERVICES, MANAGERS AND ADMINISTRATIVE WORKERS (VICTORIAN PUBLIC SECTOR) (SINGLE INTEREST EMPLOYERS) ENTERPRISE AGREEMENT 2021-2025 for salary range. Sub-grading will be based on years of experience. This role must be fully vaccinated for Covid-19 and meet the requirements of the Peninsula Health immunisation policy.
